MOVING YOUR OFFICE
If you are thinking about relocating your office it is important to allow yourself enough time to plan properly, at least six months to a year in advance.
The obvious starting point is to find a new space to buy or lease. Decide what renovations need to be completed before the move, the estimated time it will take to complete them and then if everything falls within your budget it is time to choose a moving date and obtain any permits that will be needed.
Next on the list will be ordering a new phone number and fax number if necessary, as to allow you enough time notify your customers of the impending change and to order new letterhead, labels, envelopes, business cards, etc.
Will you be able to utilize your current office furniture? If not you should design the new layout and order any new or additional pieces three to six months prior to the move. It would also be a good time to attend to the phone system, order additional phone lines, wire for internet access and order any additional computer equipment that might be needed and finalize the hiring of a reputable mover.
One to three months before the move you should send a change of address to all your customers, vendors, lien holders, banks (including ordering new checks) and equipment lessors. Depending on the distance of you move you might want to contact equipment lessors to confirm that you will not be in violation of your lease.
Before moving anything into the new space you should have your security system activated and in full force and have ordered all keys and/or access cards.
During the actual move, advise employees that they should consider moving their personal items themselves in order to avoid mysterious disappearances or breakage of sentimental items. You might also want to move any office plants separately.
